Your privacy, in plain English.

We built MaxQ to help people build great things. Not to collect data about them. Here is what you should know:

  • We collect only what we need. No more, no less.
  • We do not sell your data. Not to advertisers, not to brokers, not to anyone.
  • We do not use your data to train AI. Unless we tell you explicitly and you agree.
  • We anonymize where practical. When we can learn from data without identifying you, we do.
  • You have control. You can access, update, or delete your data.
  • We are reachable. hello@gomaxq.com. A real person reads it.

This policy explains what information MaxQ collects, why we collect it, how we use it, and what choices you have. We wrote it in plain English because we believe you should not need a law degree to understand how your data is handled.

The short version: we collect only what we need, we do not sell your personal information, and we do not use your data to train AI models unless we specifically tell you and you agree. If you have questions, we are right here: hello@gomaxq.com.

Our Privacy Promise

We believe privacy is a right, not a feature. Here is what that means in practice:

  • We collect only what we need. If we do not need it, we do not ask for it.
  • We are transparent. This policy tells you what we do. If our practices change, we will tell you.
  • We anonymize where practical. When we can use aggregated or anonymized data instead of personal data, we do.
  • We do not sell your information. Period.
  • We do not train AI on your data by default. Your content stays yours. If we ever want to use customer data for AI training, we will be upfront about it and get your consent.
  • We respect your choices. You have control over your data, your communications, and your relationship with us.
  • We are reachable. If something in this policy does not sit right, tell us. hello@gomaxq.com.

1. Information MaxQ Collects

We collect information in a few ways: directly from you, automatically when you use our products, and occasionally from third parties.

Information You Provide Directly

  • Account and contact data: Name, email address, company name, job title, and other information you provide when you create an account, fill out a form, or contact us.
  • Customer content: Data, text, images, files, or other materials you submit or upload through the Services. This is your content. We process it to provide the service.
  • Communications: Messages you send us (support requests, feedback, emails to hello@gomaxq.com).

Information Collected Automatically

  • Product usage data: How you interact with the Services, including features used, actions taken, pages visited, and time spent.
  • Device and log data: Browser type, operating system, IP address, device identifiers, referring URLs, and similar technical information.
  • Analytics data: We use Google Analytics on our website to understand how people use it. Individual MaxQ products may use additional analytics tools, disclosed in the product. These tools collect usage and performance data. See Section 7 for more on cookies and tracking.

Payment-Related Data

  • Where a MaxQ product accepts payment, payments are processed by Stripe. When you make a payment, Stripe collects your payment information (card number, billing address, etc.) directly. MaxQ does not store your full payment card details. We may receive limited information from Stripe (such as the last four digits of your card, card type, and billing address) for record-keeping purposes.
  • Stripe’s privacy policy governs their handling of your payment data: stripe.com/privacy.

Information from Third Parties

  • If you connect third-party services to your MaxQ account, we may receive information from those services as needed to support the integration.
  • If someone on your team invites you to a MaxQ account, we may receive your name and email address from them.
We collect the basics: your account info, how you use the product, and standard technical data. Payments go through Stripe. We keep it to what we need.

2. Why MaxQ Collects Data

We collect data for specific, practical reasons:

  • To provide the Services: Process your requests, maintain your account, deliver the features you use.
  • To communicate with you: Respond to support requests, send service-related notices, share product updates (with your permission).
  • To improve the Services: Understand usage patterns, identify bugs, improve performance, and develop new features.
  • To ensure security: Detect and prevent fraud, abuse, and security incidents.
  • To meet legal obligations: Comply with applicable laws, regulations, and legal processes.
  • To support billing: Process payments, manage subscriptions, and handle billing inquiries through Stripe.
  • To honor our contracts: Fulfill obligations under business agreements with our customers.

We do not collect data for the sake of collecting it. If a data point does not serve one of these purposes, we should not be asking for it.

Every piece of data we collect has a reason. We are not hoarding information for its own sake.

3. How MaxQ Uses Data

Here is how the information we collect maps to what we do with it:

We use your data to give you the service you signed up for, to keep things working, and to make things better. That is it.

4. How MaxQ Anonymizes and Aggregates Data

Where practical, MaxQ anonymizes or aggregates data so it can no longer be linked to a specific individual or organization. We do this because:

  • It reduces privacy risk.
  • It lets us improve products without needing personal data.
  • It aligns with our principle of collecting only what we need.

Anonymized and aggregated data may be used for:

  • Product analytics and improvement.
  • Research and benchmarking.
  • Understanding usage trends across the platform.

Important:We say “where practical” because not all data can be meaningfully anonymized while still serving its purpose. For example, your account email needs to stay identifiable so you can log in. We apply anonymization where it makes sense and does not break the experience.

When we can strip out the identifying details and still learn something useful, we do. We are honest about where that is possible and where it is not.

5. How MaxQ Shares Data

MaxQ does not sell your personal information. We share data only in the following circumstances:

The Services We Use, and Why

We run MaxQ on a small set of carefully chosen services. Each one exists to make your experience better: faster pages, email that arrives, analytics that show us what is confusing before you have to tell us. Your data passes through these services, so you deserve to see the whole chain, not just our half of it. Here is every service we use, what it does for you, and where its own privacy policy and terms live:

  • Google Analytics: Website analytics. Shows us, in aggregate, which pages help and which ones lose people, so we can be proactive about fixing what is not working. Only loads where we run analytics, as described in Section 7. Their privacy policy · their terms.
  • PostHog:Product analytics inside some MaxQ products (currently Glowpitch), including session replay that shows us where the product confuses people. It only runs after you accept analytics in that product’s cookie notice. Their privacy policy · their terms.
  • Anthropic: AI processing. AI-powered features (such as our diagnostic) send the text you submit to Anthropic’s Claude API to generate your result. Under the commercial API terms we use, Anthropic does not train its models on this data. Their privacy policy · their commercial terms.
  • Supabase: Database infrastructure. Stores contact and account records so we remember who you are between visits instead of asking you twice. Their privacy policy · their terms.
  • Postmark: Transactional email delivery. Makes sure the emails you ask for (like a copy of your report) actually reach your inbox. Their privacy policy · their terms.
  • Render: Hosting and infrastructure. Runs the site you are reading right now. Their privacy policy · their terms.
  • Stripe: Payment processing, where a product accepts payment. Stripe receives your card details directly; we never see or store them. Their privacy policy · their services agreement.

This list is current as of the date at the top of this page. If we add or replace a service that handles personal data, we update this policy. We do not quietly swap tools.

Our service providers are contractually obligated to protect your data and use it only for the purposes we specify.

Third-Party Integrations

If you connect third-party services to your MaxQ account, data may flow between MaxQ and those services as necessary to support the integration. You control which integrations you enable.

Legal and Security Disclosures

We may disclose data if we believe in good faith that disclosure is necessary to:

  • Comply with applicable law, regulation, or legal process.
  • Protect the safety, rights, or property of MaxQ, our users, or the public.
  • Detect, prevent, or address fraud, security incidents, or technical issues.
  • Enforce these Terms or our other agreements.

Business Transfers

If MaxQ is involved in a merger, acquisition, bankruptcy, or sale of assets, your data may be transferred as part of that transaction. We will notify you of any such change and any choices you may have.

With Your Consent

We may share data in other circumstances if you give us explicit consent to do so.

To be clear: MaxQ does not sell your personal information to advertisers, data brokers, or other third parties for their commercial purposes.

We share data only with the service providers we need to operate, when legally required, or when you ask us to. Every provider is named above with links to their own policies, so you can audit the whole chain. We do not sell your information.

6. AI and Data Processing

How AI Works in MaxQ Products

Some MaxQ products use artificial intelligence to provide features such as analysis, recommendations, content generation, or diagnostics. When AI processes your data:

  • It is done solely to provide the service you are using.
  • Your data is not pooled with other customers’ data for model training.
  • AI outputs are tools for your decision-making, not guarantees.

Our AI features are currently powered by Anthropic’s Claude models via API. Text you submit to an AI feature is sent to Anthropic to generate the response, and under the commercial API terms we use, Anthropic does not train its models on that data.

Our AI Training Commitment

MaxQ does not use your Customer Content or personal data to train AI models unless otherwise clearly specified and agreed to.

If a specific product or feature ever involves using customer data for AI training or model improvement:

  • We will clearly disclose it in the product, in this policy, or in a separate agreement.
  • We will obtain your explicit consent.
  • You will have the ability to opt out.

Anonymized Data and AI

Anonymized, aggregated data that cannot be linked to any individual or organization may be used to improve MaxQ products, including AI features. This is consistent with Section 4 of this policy.

If our products use AI on your data, it is to serve you, not to feed our models. We will always be upfront if that changes.

7. Cookies and Tracking Technologies

MaxQ uses cookies and similar technologies to provide, secure, and improve the Services. This includes:

  • Essential cookies: Required for the Services to function (login sessions, security, preferences).
  • Analytics cookies: Used by Google Analytics to understand how our website and products are used.
  • Performance cookies: Help us understand and improve site performance.

You can manage your cookie preferences through your browser settings or through any cookie consent tool we provide.

We use cookies to keep things running and to understand usage. You can manage your preferences through your browser settings.

8. Data from Children

MaxQ products are not intended for children under the age of 13 (or the applicable age in your jurisdiction). We do not knowingly collect personal information from children under 13.

If we learn that we have collected personal information from a child under 13, we will take steps to delete that information as quickly as possible. If you believe a child under 13 has provided us with personal information, please contact us at hello@gomaxq.com.

MaxQ is not for kids. If a child’s data reaches us by mistake, we will delete it.

9. Data Retention

How long we keep your data depends on several factors. We aim to be straightforward about this, even though retention is rarely one-size-fits-all.

What Drives Retention Decisions

  • The type of data. Account credentials are kept while your account is active. Analytics data may be kept for shorter periods.
  • Legal and business requirements. Some data must be retained for tax, accounting, legal compliance, or regulatory reasons.
  • Product functionality. Some data is needed for the product to work as expected (for example, your preferences and settings).
  • Customer agreements. Business customers may have data retention requirements in their contracts with us.
  • Security and fraud prevention. We may retain certain data to investigate, prevent, or respond to security incidents or suspected fraud.
  • Your requests. If you ask us to delete your data, we will do so unless we have a legitimate legal or business reason to retain it (and we will tell you if that is the case).

Typical Retention Windows

These are the windows we aim for in practice. They are targets, not contractual commitments, and specific legal obligations can extend them:

  • Contact and lead records: While our relationship is active, and up to 24 months after the last meaningful interaction.
  • Server logs: Roughly 30 to 90 days.
  • Analytics data: Up to 26 months (the Google Analytics retention ceiling we use).
  • Billing records: Up to 7 years, as tax and accounting rules require.
  • Support correspondence: Up to 24 months after the thread closes.

General Principles

  • We keep data only as long as we have a clear reason to.
  • When data is no longer needed, we delete it or anonymize it.
  • We review our retention practices regularly.
  • If you close your account, we will delete or anonymize your data within a reasonable period, subject to the factors above.

We do not keep your data indefinitely “just in case.” If we are holding onto something, there is a reason.

We keep your data for as long as we need it and no longer. The exact timeline depends on the type of data, legal requirements, and your own requests. When it is time to let go, we do.

10. Data Security

MaxQ takes data security seriously. We implement reasonable administrative, technical, and physical safeguards to protect your information, including:

  • Encryption of data in transit (TLS) and at rest where appropriate.
  • Access controls that limit who within MaxQ can access personal data.
  • Regular security assessments and monitoring.
  • Incident response procedures for suspected breaches.

No system is perfectly secure. While we work hard to protect your data, we cannot guarantee absolute security. We encourage you to take your own precautions (strong passwords, multi-factor authentication, etc.).

If we discover a data breach that affects your personal information, we will notify you in accordance with applicable law.

We invest in security and take it seriously. But security is a shared effort. Protect your own credentials, and we will protect the rest.

11. Your Choices and Controls

You have meaningful control over your data and how we communicate with you.

Account Updates

You can update your account information at any time through your account settings or by contacting us at hello@gomaxq.com.

Communications Preferences

  • Transactional messages: We will send you messages related to your account and services (billing, security alerts, service updates). These are not marketing and cannot be opted out of while your account is active.
  • Marketing messages: If we send marketing communications, you can opt out at any time by using the unsubscribe link in the message or by contacting us.

Cookie and Analytics Choices

Data Requests

Depending on your jurisdiction, you may have the right to:

  • Access the personal data we hold about you.
  • Request correction of inaccurate data.
  • Request deletion of your data.
  • Request a copy of your data in a portable format.
  • Object to or restrict certain processing.

You are in control. Update your info, manage your communications, control cookies, or ask us about your data. We are here to help.

12. Privacy Rights for U.S. Users

Several U.S. states have enacted privacy laws that grant residents specific rights regarding their personal information.

General Rights

Depending on your state of residence, you may have some or all of the following rights:

  • Right to know: What personal information we collect about you and how we use it.
  • Right to access: A copy of the personal information we hold about you.
  • Right to delete: Request deletion of your personal information, subject to legal exceptions.
  • Right to correct: Request correction of inaccurate personal information.
  • Right to opt out: Of the sale of personal information (note: MaxQ does not sell personal information) or targeted advertising.
  • Right to non-discrimination: We will not discriminate against you for exercising your privacy rights.

Sensitive Information and Advertising

  • In the ordinary course, MaxQ does not collect or process sensitive personal information as defined by U.S. state privacy laws.
  • We do not sell your personal information, and we do not use it for cross-context behavioral (targeted) advertising.

How to Exercise Your Rights

Contact us at hello@gomaxq.com with your request. Please include enough information for us to verify your identity and understand your request.

We will respond within the timeframe required by applicable law (typically 30–45 days, depending on the jurisdiction).

Authorized Agents

In some states, you may designate an authorized agent to make a request on your behalf. We may require verification of the agent’s authorization.

If you live in a state with privacy rights, you have them with us. Email us and we will walk you through it.

13. Global Users and International Access

MaxQ is based in the United States and our Services are primarily designed for U.S. users. However, our products may be accessible to users in other countries.

If you access the Services from outside the United States:

  • Your data may be transferred to and processed in the United States.
  • U.S. data protection laws may differ from those in your country.
  • By using the Services, you consent to the transfer and processing of your data in the United States.

If you have concerns about international data transfers, please contact us at hello@gomaxq.com before using the Services.

We are a U.S.-based company. If you are elsewhere, your data may be processed in the U.S. If that concerns you, reach out and we will talk through it.

14. Do Not Track and Global Privacy Signals

Some browsers and devices send “Do Not Track” (DNT) or “Global Privacy Control” (GPC) signals.

  • MaxQ respects GPC signals where required by applicable law.
  • There is currently no universally accepted standard for how websites should respond to DNT signals. MaxQ’s response to DNT signals may vary.

For the most reliable control over tracking, we recommend using the cookie and analytics controls described in Section 11.

We respect privacy signals where the law requires it. For the best control, use the cookie settings we provide.

15. Data We Process on Behalf of Customers

Some MaxQ products process information about people on behalf of our customers. For example, outreach products may gather publicly available professional information (things people have published or said publicly about their work) to help a customer understand who they are contacting and why.

  • Our role:For this data, MaxQ acts as a service provider processing information on the customer’s instructions. The customer decides who to contact and approves every message.
  • What we use: Publicly available professional information and contact data our customers lawfully provide. We do not use this data for our own marketing, and we do not sell it.
  • Your rights: If you received an outreach message from one of our customers and want out, email hello@gomaxq.com. We maintain an internal do-not-contact list, and we will add you to it and honor it across our platform.
Some products help our customers reach out to people using public information. The customer approves every message, and if you want to be left alone, one email to us takes care of it platform-wide.

16. Changes to This Policy

MaxQ may update this Privacy Policy from time to time. When we do:

  • We will update the “Effective Date” and “Last Updated” date at the top of this page.
  • For material changes, we will provide notice through the Services, by email, or by other reasonable means.
  • Your continued use of the Services after changes take effect constitutes acceptance of the updated policy.

We encourage you to review this policy periodically.
